This Privacy Policy describes how Remarkable MR LLC ("Remarkable MR," "we," "us," or "our") collects, uses, discloses, and protects information in connection with our website at remarkablemr.com (the "Site") and the market research, insights consulting, and related services we provide to clients (collectively, the "Services").

Remarkable MR is a sole-proprietor market research and insights consultancy based in Dunwoody, Georgia, USA. We work with brand, marketing, innovation, and insights teams to design and deliver custom research programs. We are committed to handling all information — whether from website visitors, prospective clients, current clients, or research participants — with care, transparency, and respect.

OUR ROLE AS DATA PROCESSOR

When Remarkable MR conducts research or provides analytical services on behalf of clients, we act as a data processor. In that capacity, we process personal data solely in accordance with our clients' documented instructions, contractual agreements, and applicable data protection laws. Our clients are the data controllers and are responsible for establishing the lawful basis for data collection and participant consent. Where we collect information directly through our own website and business development activities, we act as the data controller and this Policy applies in full.

Information We Collect

Information You Provide Directly

When you interact with us through the Site or in connection with our Services, you may voluntarily provide:

  • Contact information — name, email address, phone number, company name, and job title when you submit an inquiry, book a discovery call, or contact us by email.

  • Business information — details about your organization, research needs, project scope, and budget shared during proposal or engagement discussions.

  • Project materials — stimuli, briefs, existing research, and related materials provided to us in the course of an engagement.

  • Communications — the content of emails, messages, and other correspondence you send to us.

Information Collected Automatically

When you visit our Site, certain information may be collected automatically through standard web technologies, including IP address and approximate geographic location, browser type, device type and operating system, pages visited and time spent, and date and time of visit. This data is used primarily to understand how visitors use our Site. See Section 10 for more on cookies.

Information from Third Parties

We may receive limited contact or professional information about prospective clients through LinkedIn or professional referrals. We do not purchase third-party marketing lists.

How We Use Information

  • To respond to inquiries and proposals — communicating with prospective clients about their research needs and providing proposals and cost estimates.

  • To deliver our Services — designing, executing, and reporting on research engagements, and providing strategic consulting and insights delivery.

  • To manage our business relationship — sending project updates, invoices, contracts, and other business communications.

  • To improve our Site and Services — analyzing how the Site is used to improve its content, structure, and functionality.

  • To communicate relevant updates — sharing information about our services or new capabilities where you have expressed interest. You may opt out at any time.

  • To comply with legal obligations — retaining records as required by law and responding to lawful requests from authorities.

Our baseline standard: We collect only the information necessary to serve you well and run our business. We do not sell, rent, or monetize your personal information to third parties.

Information Sharing

Remarkable MR does not sell, rent, or trade your personal information. We share information only in the following limited circumstances:

Trusted Service Providers (VIP Partners)

To deliver our Services, we work with a vetted network of research technology platforms and fieldwork partners ("VIP Partners") — including survey programming platforms, panel providers, AI-assisted analysis tools, eye-tracking providers, and data processing services. These partners receive only the information necessary to perform their specific service and are bound by data protection and confidentiality obligations consistent with our Supplier Code of Ethics. We disclose the specific partners involved in an engagement to our clients at the start of each project.

Professional Services Providers

We may share information with accountants, legal advisors, and cloud service providers (such as Google Workspace and Microsoft 365) who support our business operations. These parties access information solely to provide their services to us.

Legal Requirements

We may disclose information when required by law, regulation, or court order, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

Business Transfers

In the unlikely event of a merger, acquisition, or sale of substantially all of our business, personal information may be transferred as part of that transaction. We will provide notice before such a transfer takes effect.

Research Participants

When Remarkable MR designs and conducts research studies on behalf of our clients, we work with panel providers and fieldwork partners who recruit and manage research participants. The privacy and ethical treatment of participants is a core commitment of our practice.

Data Collected in Research Studies

Research data — including survey responses, open-ended text, behavioral observations, and attention or emotion metrics — is collected under the consent framework established by the panel provider or fieldwork partner. Participant responses are anonymized before they are shared with Remarkable MR and our clients. We do not receive individually identifiable participant data except as required by a specific study design and disclosed to participants at the time of consent.

Sensitive Personal Data

Some research studies may require collection of sensitive personal data — such as health-related attitudes, demographic information, or other special category data — as directed by our clients and disclosed to participants at the point of consent. We take appropriate measures to protect such data and handle it only as instructed by clients and permitted by applicable law.

Participant Rights

Participants in studies managed through our fieldwork partners should direct privacy requests and data access inquiries to the panel or platform operator, as they are the data controller for participant personal information. Remarkable MR operates as a data processor in these contexts.

Children

We do not knowingly design research that collects data from individuals under 18 without appropriate parental consent processes managed by the fieldwork partner. Our Site is not directed at children under 13, and we do not knowingly collect personal information from children.

Our commitment: Remarkable MR's brand is built on insights from real people in real moments. We require all partners to uphold participant dignity, verified authenticity, and informed consent as non-negotiable standards.

Use of AI Tools

Remarkable MR may use artificial intelligence (AI) tools to assist with certain aspects of our work, including summarization and thematic coding of anonymized open-ended survey responses. We are committed to transparency about how AI is used and to maintaining human oversight over all AI-assisted outputs.

How We Use AI

  • AI is used selectively as an assistive tool, not as a decision-making system.

  • Primary use cases include thematic summarization of anonymous survey text, efficiency improvements in analysis, and predictive attention/emotion metrics through our VIP Partners' platforms.

  • All AI-assisted outputs are reviewed and validated by a senior researcher before inclusion in any deliverable.

  • AI is not used to generate health advice, make decisions about individuals, or produce outputs presented without human review.

AI and Personal Data

Where AI tools process data on our behalf, we use tools whose providers comply with applicable data protection standards. Data input to AI tools is anonymized to the fullest extent practicable. We do not use personally identifiable client or participant data to train AI models.

Disclosure to Clients

We disclose to our clients at the start of each engagement which AI tools will be used and how. Clients may request that specific AI tools not be used in their project.

Data Retention

We retain personal information and project materials only as long as necessary to fulfill the purposes described in this Policy, meet our contractual obligations, or comply with legal requirements.

Upon expiration of the relevant retention period, or upon written request from a client, project materials are securely deleted or returned. Where data is stored in cloud platforms, deletion is carried out in accordance with those platforms' secure deletion procedures.

Security

We implement appropriate technical and organizational safeguards to protect your information, including:

  • Full-disk encryption on all devices used to access client data

  • Multi-factor authentication (MFA) on all cloud accounts and email

  • Password management practices consistent with industry standards

  • Use of reputable cloud platforms (Google Workspace, Microsoft 365) for file storage and communication

  • NDAs with all clients and relevant partners prior to accessing sensitive project materials

  • Limiting access to project data on a need-to-know basis

No method of electronic transmission or storage is 100% secure. In the event of a data breach affecting your information, we will notify you as required by applicable law and within 24–48 hours of discovery.

Your Privacy Rights

We honor the following rights for all individuals who contact us, regardless of jurisdiction:

  • Access — You may request a copy of the personal information we hold about you.

  • Correction — You may ask us to correct inaccurate or incomplete information.

  • Deletion — You may request that we delete your personal information, subject to any legal retention obligations.

  • Restriction — You may ask us to limit how we use your information in certain circumstances.

  • Opt-out of marketing — You may opt out of receiving marketing communications at any time by emailing hello@remarkablemr.com or using any unsubscribe link.

  • Data portability — Where technically feasible, you may request your information in a structured, commonly used format.

California Residents (CCPA)

California residents have additional rights under the CCPA, including the right to know what personal information is collected and the right to opt out of its sale. Remarkable MR does not sell personal information. To exercise your CCPA rights, contact hello@remarkablemr.com.

International Visitors

Remarkable MR is based in the United States and primarily serves U.S.-based clients. If you are located outside the U.S. and interact with our Site or Services, your information will be transferred to and processed in the United States. We take steps to ensure such transfers are conducted lawfully, including Standard Contractual Clauses where applicable.
